What is Executive People Experience?

Executive People Experience plays a key role in enhancing the overall workplace environment by ensuring smooth delivery of employee services and operational support. This position oversees transport and fleet management, cafeteria operations, travel and accommodation arrangements, office supplies, courier services, and workspace readiness. It also manages vendor coordination, facility upkeep, invoice processing, and employee engagement activities. The role requires a proactive, service-oriented professional committed to delivering a seamless and positive employee experience in a dynamic multinational setting.

This role reports directly to the Manager People Experience.

What does Executive People Experience do?

• Oversee employee transport and fleet operations, including scheduling, driver coordination, vehicle maintenance, fuel card issuance, and compliance with safety and regulatory standards.
• Manage cafeteria services, ensuring food quality, hygiene, and vendor performance, while addressing employee feedback and continuous service improvement.
• Coordinate domestic and international travel and accommodation for employees and guests, aligning with company travel policies and ensuring cost-efficiency and timely execution.
• Plan and execute employee engagement initiatives, corporate events, and meetings, including logistics, vendor coordination, venue setup, and hospitality arrangements.
• Administer courier and mailroom services, ensuring timely dispatch and receipt of domestic and international packages, and monitoring service performance.
• Ensure availability and distribution of office essentials, including stationery, pantry supplies, and drinking water, while maintaining stock levels and vendor relationships.
• Lead onboarding and performance management of facility vendors, ensuring compliance, documentation, SLA monitoring, and continuous improvement.
• Support office space planning and allocation, ensuring timely setup of workstations for new hires in coordination with HR, IT, and admin teams.
• Manage facility upkeep, repair works, and minor infrastructure upgrades, ensuring a safe, clean, and functional work environment across all office areas.
• Process and verify invoices for all facility-related services, including transport, travel, cafeteria, supplies, and vendors, ensuring accuracy and timely approvals.
• Serve as the first point of contact for employee concerns, handling service-related complaints and workplace conflicts with professionalism, discretion, and timely resolution.
• Monitor operational metrics, including service usage, costs, vehicle performance, and vendor compliance, to drive efficiencies and support strategic decision-making.

Requirements

What does it take to be Executive People Experience?

• Bachelor's degree in Business Administration, Human Resources, or related field.
• 3–5 years of experience in facilities, administration, or employee services in a corporate or multinational environment.
• Proven ability to manage vendors, transport services, travel logistics, and office operations effectively.
• Strong organizational and multitasking skills with attention to detail and process orientation.
• Proficient in Microsoft Office; knowledge of facility or vendor management tools is an advantage.
• Skilled in invoice processing, budgeting, cost optimization, and stakeholder management.
• Strong problem-solving abilities with a proactive, customer-focused mindset.
• High level of integrity and discretion in handling confidential matters.
• Ability to work independently and collaboratively across functions in a fast-paced environment.
• Familiarity with workplace health, safety, and compliance standards.
