What is CEO Coordinator?
We are looking for someone who is upbeat, energetic and excellent in communication skills. Communication will be ongoing in the office. As an CEO Coordinator, you'll be screening incoming calls/emails, making notes of essential information and prioritizing the calls/e-mails to be returned by the CEO Deodar. Hence you should be smart in organizing tasks and managing time effectively so the work in the office runs in a smooth and efficient manner.
The role reports directly to CEO Deodar.
What does Executive Assistant do?
- Manage and oversee comprehensive scheduling and logistical support for the CEO Deodar, including agenda preparation, correspondence management, call coordination, travel planning, client engagement, and internal operations.
- Coordinate complex calendar activities and scheduling requirements, ensuring seamless management of information flow and meeting logistics for senior leadership.
- Uphold the highest standards of professionalism and confidentiality in handling sensitive materials and communications.
- Serve as a key liaison between executives, staff, clients, and external stakeholders, facilitating effective communication and collaboration.
- Greet and screen all visitors, assess their needs, and provide courteous, professional assistance aligned with organizational standards.
- Manage both domestic and international travel arrangements, including itineraries, accommodations, and transportation.
- Provide high-level administrative support by drafting and managing email correspondence, official letters, and internal communications on behalf of the CEO.
- Plan, coordinate, and execute corporate events such as team-building initiatives, award ceremonies, town hall meetings, and off-site strategic sessions.
- Maintain and monitor the events budget, ensuring accurate documentation of all event-related expenditures and financial records.
- Assist in drafting, editing, and distributing internal and external communications-including emails, newsletters, and press releases-in alignment with Deodar’s brand and messaging.
- Support the planning and execution of corporate events and promotional activities.
- Prepare presentations and marketing materials for executive meetings, client briefings, and public events.

Requirements
What are we looking for and what does it require to be CEO Coordinator?
- Exceptional organizational abilities with a proven track record of managing and prioritizing multiple tasks efficiently while maintaining strong attention to detail.
- Excellent interpersonal skills, with the capability to establish and nurture effective relationships with internal and external stakeholders, including staff, board members, and partners.
- Minimum of 3–5 years of relevant experience in a comparable role, supported by a Bachelor's or Master's degree.
- Proficient in English and Urdu, with strong communication skills in both languages.
- Skilled in Microsoft Office applications, including Word, Excel, PowerPoint, and Project.
- Advanced written and verbal communication abilities, with a professional and articulate approach.
- Demonstrated discretion in handling sensitive and confidential information, with adaptability to shifting priorities and a commitment to providing top-tier client or customer service.
- Proven capability to deliver high-quality results and consistently meet deadlines in dynamic, fast-paced environments.
