What the first 30-60-90 days in the job will look like?
Within 30 days you will:
Attend and graduate from our company-wide on boarding process along with detailed orientation program where you will learn Jazzs values, business, and products
Meet with the People & Organization team to understand the strategy of the function in line with Chief People Officer's (CPO) strategy and company road map.
Provides assistance to the leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CPO, some of which may have organizational impact.
Coordinates a broad variety of administrative tasks for the CPO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Within 60 days, you will:
Plans, coordinates and ensures the CPO's schedule is followed. Acts as a liaison between internal/external stakeholders, creating win-win situations for direct access to the CPO's time and office.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CPO's ability to effectively lead the company.
Ensures that the CPO's bio is kept updated and responds to requests for materials regarding the CPO and the organization in general
Facilitate the on-boarding process by ensuring the overall experience standards are met. This includes completion of pre and post on-boarding activities such as:
Ensure all day 1 business tools are ready after coordination with respective stakeholders and updated in respective tracking database
Coordinate with Compliance team to ensure compliance related training's are scheduled and undertaken by the employee
Facilitate the on-boarding process for internships which includes on-boarding formalities, 1st day meetup and stipend processing on a monthly basis.
Within 90 days to onwards you will:
Communicates directly, and on behalf of the CPO, with Board members, internal/external stakeholders, and others, on matters related to CPO's programmatic initiatives.
Provides a bridge for smooth communication between the CPOs office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Works closely and effectively with the CPO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

We are looking for someone who is upbeat, energetic and excellent in communication skills.
Communication will be ongoing in the office. As an executive assistant, you'll be screening incoming calls/e-mails, making notes of essential information and prioritizing the calls/e-mails to be returned by the CPO. Hence you should be smart in organizing tasks and time effectively so the work in the office runs smooth and calm.

A two (02) members team with no sub teams.
The two (02) main priorities of the team as a whole are:
Serve as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
Must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities
With which other stakeholders the successful candidate will work with functional/regional/ within the team.
You will work with internal and external stakeholders including divisional/departmental heads, internal P&O team members, and all functions of the company for effective planning, development and roll out of the CPO Initiatives.

Ensure smooth transfer of internal/external communication from the CPOs office.
